The knowledge sits in heads, mail and SharePoint.
People search, ask and retype the same things. Company Brain is a layer over the knowledge you already keep. Staff get an answer with the source, or it says it does not know. Who may not see it, does not see it. Not a chatbot. Not a migration.
A paid scan, not a demo. Process, sources, permissions and an implementation plan. After that you know whether Launch is the next step.
- Stop asking the same colleague again
- An answer with a source, or it says it does not know
- Nothing goes out. A next step is a separate build, for one process
ChatGPT on a folder
An answer from your sources, with permissions
Copilot only inside Microsoft
An answer from sources you designate, with one permission set
A chat that finishes nothing
The answer first. A next step only if the scan points to one process
The information is already there. Just not in one place.
A quote lives in the CRM, agreements in email, procedures in SharePoint, knowledge with an experienced colleague, and decisions in meeting notes.
Search, ask, ask again
Everyone retrieves the same thing from the person who happens to know.
AI without context is guesswork
Without source, permissions and freshness it cannot act safely.
The work beside it stays put
An answer is not a CRM update, a follow-up, or a handover.
Four steps, on what is already there
No migration project in order to use AI.

Designate
Which sources may be included. Off stays off.
Link
To the right company. Without that link, the source barely exists for it.
Answer
Plain language, the source beside it, or it says it does not know.
Confirm
A person says whether a claim stays. Only then does it become a knowledge article.
A layer that answers
The Brain searches and answers, with the source beside it. An agent is added only for one process you designate, and it sends nothing outward without the approval you agree.
The Brain
Search and ask in plain language, with the source beside the answer. Who may not see it, does not see it. If the evidence is missing, it says so.
What it reads
Notes, documents, CRM records, and knowledge articles someone has confirmed. Email selectively: a shared thread yes, a personal one only the subject. Phone and team chat are off by default.
What it does not see on its own
SharePoint, Drive, ERP, WhatsApp and an ATS. We connect those when the scan points to one process that lives there. We have built that kind of connection in other work. They are not part of Company Brain.
What it does not do, and why that is the point
Anyone who promises everything cannot be allowed to write into your processes.
- Does not replace your CRM or ERP
- Answers only from designated sources
- Does nothing outbound without the agreed approval
- Does not train a model on your data
- Is not an unmanaged autonomous agent
- A source that is not linked to the right company barely counts
- It does not search a system we have not connected
What changes in the work
The difference that is there now. No promised percentages.

What this process costs you now
Your numbers. What comes back from them is the scan — not this module.
Result
52 weeks, your inputs. This is what the process costs now, not a promise of what comes off. The scan says which part is a workflow — we do not guess that percentage.

What a first workflow can look like
We build one of them, not all four.
Sales
A client brief from the quote, the mail and the notes, with approval before it goes out.
Recruitment
From the call to an update in the ATS, a brief and a follow-up. With approval.
Operations
Job prep and handover from the same source, instead of knowledge that stays with the planner.
Management
A briefing from several sources, with an owner.
The way in is the scan
Not a free-form demo. We map one process: sources, permissions, what an agent may do, and what Launch would be.
Company Brain Scan
Process map, three cases, architecture and implementation plan. Days of work, not a conversation.
Then, if the scan shows it is viable: one workflow live in thirty days. Extra sources or a second agent we build when there is a reason to. They are not on from day one.
The parts already run
Connections and agents that change nothing without approval: that already runs, in other work. These are not Company Brain customers. It shows we can build the next step when the scan points to it.
Trust
Dozens of connected automations on one server: leads, follow-up, reporting.

What we get asked
Is this just ChatGPT on our documents?
No. A chat window without permissions and without a source is a search engine with extra steps. Company Brain keeps track of who may see what, and names the source. Agreed work in your own systems we do only for the workflow from the scan — or it does not.
Does this replace Microsoft Copilot or Google Gemini?
No. Those tools help inside their own environment. Copilot stays inside Microsoft. Company Brain answers from the sources you designate, with one permission set. Often both stay in place. A next step in another system is a separate workflow, not the chat.
Do our existing systems stay?
Yes. We connect what is already there, and only what this process needs. This is not a new ERP and not a migration in order to use AI. What is not connected is not searched.
Who owns the data and the setup?
You do. We do not train a model on client data unless that is explicitly agreed. Search uses embeddings; that is not training. What goes in, what may come out, and how long it is kept, is set down in the data processing agreement.
What if it is wrong?
Then that has to be visible. Answers carry a source; without evidence it says it does not know. A workflow we build sends nothing outward without the approval you agree. That is not an extra option, it is the condition.
How long before someone gets something out of it?
The scan is a matter of days. Launch is thirty days to one workflow in production with a pilot group. Extra sources or a second agent we build when there is a reason to, not as a larger consultancy engagement.
What does it cost?
That depends on sources, permissions and the first workflow, and that differs per company. We are not going to guess it here. The scan produces those three things, and after that you know what it is and what it costs.
When is this the wrong choice?
If you want a chatbot with no process behind it, if nobody owns the work, or if the data has no API or folder anywhere. An agent that already updates the ATS and already sends mail is a build after the scan, not a switch. Then we say so, and point to something smaller.
Map one process, then you know whether we may build it
The scan is the start: sources, permissions, what an agent may do, and an implementation plan. Not a free-form demo.
Does one of these sound familiar?
