The challenge
What was going on
For our own administration, we wanted to bring quotes, invoices, bank data and financial overviews together. Copying information between files makes it harder to tell which records are current.
Each step needs the right customer, amount and document. We wanted an overview that keeps that information available from the first quote through to reporting.
Our approach
How we tackled it
We built one environment where the complete money flow comes together, from the first quote to the export for the accountant, fully custom and in the owner's own house style.
Quotes and invoices
Draw up quotes and invoices in your own house style, turn a quote into an invoice with one click, and let customers approve online through a shareable link.
Get paid and follow up
An iDEAL payment link and QR code on every invoice, automatic reminders once an invoice is overdue, and recurring invoices for subscriptions and retainers.
Bookkeeping and VAT
Book purchase invoices and receipts with AI recognition, match bank transactions automatically, and keep a VAT overview per quarter that is ready to file.
Insight and export
A realtime dashboard of revenue, costs and profit with revenue goals, an annual overview per customer and product, and a one-click accountant export.

The system
Quotes and invoices
Professional quotes and invoices in your own house style, sent straight as PDF, with quote-to-invoice in one click and online approval via a shareable link.
Payment link and reminders
An iDEAL payment link and QR code on every invoice, plus automatic reminders and recurring invoices for subscriptions and retainers.
VAT and bookkeeping
A VAT overview per quarter, purchase invoices and shared costs booked in, with AI recognition that reads a receipt or PDF automatically.
Bank and receivables
Connect bank transactions and match them automatically to invoices and costs, with receivables management that shows what is still outstanding.
Dashboard and reporting
Realtime revenue, costs, profit and margin per month, quarter and year, with revenue goals and a profit-and-loss overview.
Export and management
A one-click accountant export (ZIP) and CSV per filing period, customer and product management with Chamber of Commerce data, and multiple companies under one login.
Turn a quote into an invoice
Customers, products and project information support quotes and invoices. PDF generation, invoice numbering, status transitions and email delivery are separate steps, keeping the administration useful after the document is created.
Bank transactions alongside the accounts
Import, deduplication and transaction matching support processing income and expenses. VAT calculations and reports use recorded financial data. Users remain responsible for checking the figures and filing returns.
Further developed within Elusive CRM
The original standalone app has been incorporated into the CRM. Current code includes purchase invoices, recurring invoices, payment integrations and project links. The images show the earlier standalone interface; the financial features have continued to develop inside the CRM.
The outcome
Where it stands
Our own product for creating, sending and following up quotes and invoices. Payment links and reminders support follow-up; the overview shows what has been sent, remains outstanding or has been paid.
VAT overviews and exports help prepare returns. The dashboard shows recorded figures; the accounts and return still need checking. Multiple companies can use their own branding.
From quote to financial overview: one continuous workflow for the administration we need ourselves.
